We process personal data in accordance with the Turkish Personal Data Protection Law No. 6698 (KVKK) and, for guests in the European Union and the United Kingdom, the General Data Protection Regulation (GDPR).
2. The Data We Collect
- Contact details: your name, email address, phone number and any message you send us through our contact forms, email, phone or WhatsApp.
- Booking details: travel dates, number of guests, passport details, dietary or accessibility requirements and other information needed to arrange your journey.
- Payment and invoicing details: the name or company name and details needed to issue your official invoice. We do not store card details on this website.
- Newsletter: your email address, if you subscribe to our list.
- Website usage data: information collected through cookies and similar technologies, such as pages visited and device type (see section 7).
3. Why We Use Your Data
- To answer your enquiries and design your journey.
- To book and deliver the services in your programme.
- To issue invoices and meet our legal, tax and accounting obligations.
- To send you our newsletter, only if you have subscribed.
- To understand how our website is used and improve it.
4. Legal Basis
We process your data because it is necessary to prepare and perform our contract with you, to comply with legal obligations, for our legitimate interest in running and improving our business, or on the basis of your consent (for example, for the newsletter and analytics cookies). You may withdraw your consent at any time.
5. Who We Share Your Data With
We share only what is necessary with the partners who deliver your journey, such as hotels, transport providers, guides, restaurants and airlines, and with our bank, accountants and IT service providers. We also share data with public authorities where the law requires it. We never sell your personal data.
Some of these partners, such as Google, may process data outside Türkiye. Where data is transferred abroad, we do so in line with KVKK and GDPR requirements.
6. How Long We Keep Your Data
We keep booking and invoicing records for as long as Turkish tax and commercial law requires. Enquiries that do not lead to a booking are deleted once they are no longer needed. Newsletter data is kept until you unsubscribe.
7. Cookies
Our website uses cookies that are necessary for it to work, and analytics cookies (Google Analytics) that help us understand how visitors use the site. Embedded Google Maps may also set cookies. You can control or delete cookies through your browser settings.
8. Your Rights
You have the right to ask whether we process your data, to access it, to have it corrected or deleted, to object to or restrict its processing, to receive it in a portable format, and to withdraw your consent. Under KVKK these rights are set out in Article 11.
To exercise your rights, email info@tolgatravel.com. We will reply within 30 days. If you are in the EU or UK, you may also lodge a complaint with your local data protection authority; in Türkiye, the authority is the Personal Data Protection Authority (KVKK).
